Reminder: please remember to swipe in and out of HQ and Annexe buildings

All staff are reminded that swiping in and out of the HQ and Annexe buildings is essential, as this system provides the official attendance log used for fire and emergency evacuation purposes.
In the event of a fire alarm or other emergency, the swipe system allows Fire Marshals and emergency services to quickly confirm who is in the building. Failure to swipe in or out could mean you are incorrectly listed as being inside during an evacuation, putting both you and others at risk.
Key points to remember:
- Always swipe in when you enter HQ or the Annexe and swipe out when you leave, even if you are only in the building briefly or a colleague holds the door open for you.
- Your proximity card provides access to the buildings and also forms part of the fire and security safety arrangements on campus.
- If you forget to swipe, the attendance record will be inaccurate during an emergency evacuation.
Working late
Staff entrances are open 7.00am–6.15pm, Monday to Friday.
Staff working later than this are reminded that additional sign-in/out procedures are in place as a fire and security requirement, as detailed in the HQ Campus guidance.
Staff working after 6.15pm must sign the logbook located at the side entrance in HQ and at the carpark staff entrance in the annexe and sign out when leaving.
Cleaners and facilities staff do a full sweep of the building when locking up so it’s important for there to be an accurate log of who is still in the building.
Why this matters
Accurate attendance records are a legal fire safety requirement, helping ensure everyone can be accounted for quickly and safely if the building needs to be evacuated.
Thank you for your cooperation in helping keep everyone safe. Making swiping in and out part of your daily routine really does make a difference.
