Moray Council Electronic Document and Records Management System (EDRMS)

The upgrade of Moray Council’s Electronic Document and Records Management System (EDRMS), hosted on Microsoft SharePoint, is now moving into full rollout following a successful pilot.
When your service is scheduled, you will be contacted with further instructions. In summary, the process will include:
- Reviewing and testing your new EDRMS site
- Confirming all content is present and accessible
- Closing the old system and synchronising any changes
- Decommissioning the old site, with all users moving to the new EDRMS
This is a mandatory corporate change required to ensure compliance with National Records of Scotland requirements. All services must transition to the updated EDRMS by end of June 2026.
While this is a tight timeframe, support will be provided throughout.
Migration Process
- Content Copy – All files will be copied from the existing EDRMS to the new site. You can continue using the current system during this stage with no interruption.
- Validation – You will be invited to review your new site. Please check that all files and folders are present and accessible. Any issues should be reported to sharepointteam@moray.gov.uk
- Finalisation – Once confirmed, the existing site will be locked, final changes synchronised, and the old system decommissioned.
Shared Drives
Shared drives are not included in this phase and will be migrated later in the year. Further details will be provided in due course.
In the meantime, staff are encouraged to:
- Review and remove any redundant data
- Identify documents that should be formally managed as records
- Ensure these are clearly highlighted for future migration
