Microsoft Teams FAQs

Microsoft Teams has not yet installed

Using a laptop? – Ensure SSU is unticked when logging into Check Point, and that you connect to the VPN before logging onto the desktop when using your laptop off campus. Information regarding logging onto your laptop can be found here, with details as to why this process is important.

I can’t see a calendar within Teams

If you have been allocated Teams and are using an @moray.gov.uk account, there will not be a calendar within Teams.  You are able to organise Teams meetings within your Outlook calendar.

I don’t have a ‘New Teams Meeting’ option within Outlook.
If after running this installer and rebooting your device, this option is still not available, log a fault using the Self Service Portal.
When logging into Teams, it asks me to change my password

Do NOT change your password using the Teams application.  Changing your password via Teams will put your network login password and Teams password out of sync.  If you are prompted to change your password, try cancelling and entering your password again.  You can be prompted to change your password if you have entered your password incorrectly.  If this doesn’t work, log the fault using the Self Service Portal.

 

Camera, speakers or microphone do not work

Carryout a Teams test call.

  • Right-click Teams icon in system tray
  • Select Settings
  • Select Devices
  • Check camera view at bottom of page (may need to scroll down)
  • Click Make a test call (may need to scroll up)
  • Follow instructions

If the device does not work within Teams, check to see if the device works in a different application.

  • Device works in a different application – Check settings within Teams
  • Device does not work, or unable to test device in a different application – Log a fault using the Self Service Portal.
Option to use ‘phone in’ not available

This is a licenced feature and incurs a cost.  Discussions are ongoing regarding this.

I have been asked to schedule meetings for a department, but am unable to do so

If you are using a thin client or virtual desktop, you will not be able to use Teams.  If you need to do this, your manager will need to discuss a change of workstyle with HR.  You will need to become a flexible or mobile worker.  If your workstyle does change to flexible or mobile, you will be allocated a laptop, Teams can then be installed.  You will still be able to use your virtual desktop via the laptop when not organising or attending Teams meetings.

If you have not been allocated Teams, you will not be able to organise Teams meetings.

How do I know if I am using a thin client or virtual desktop?

In the top-right of your desktop, you will see the Moray Council logo.  Under this is your network login name, and under that is the machine name.  If the machine name begins with ‘XD’ you are using a thin client or virtual desktop and will not be able to use Teams.

I am using a thin client or virtual desktop and need to use Teams

Ask your line manager to request a change of hardware to allow for the use of Teams.

I am unable to use some of the features visible within the Teams client

Log the fault using the Self Service Portal with information regarding the feature you require.

Do I need to disconnect from the VPN?

No you do not need to do this and should always stay connected to VPN for security reasons.

What is MFA (Multi-Factor Authentication)?

MFA is a security feature to verify your identity when accessing online services. As well as your username and password an additional authentication method is required, for example a security code sent to your phone. This means that if your account password becomes compromised, without access to your phone, your account remains safe from external access.

Where can I find more information on setting up MFA?

What happens if I don’t register a phone number for MFA?

You can click ‘Skip for now’ for up to 14 days, after this access to Teams will be disabled to protect your account.

Do I have to use a work phone or can I use a personal phone to complete the MFA registration?

No, you do not have to use a work phone. The phone number will only be used to send the security code from Microsoft, so a personal phone can be used. Once MFA is setup it is highly likely that you won’t get prompted for MFA again, the main purpose of having it is to protect the account.

When will I be prompted for MFA?

If you access Teams without connecting to the VPN first, for example on your home broadband without VPN on, you will be prompted for MFA. You will not be prompted for MFA when on the Council network, whether that be in the office or on VPN.

What are breakout rooms and how can I use them in my Teams meetings?

Breakout rooms are a feature of Microsoft Teams that allow a meeting organiser to create sub-meetings within a Teams meeting. This allows a meeting organiser to divide a large number of attendees in to smaller groups to aide collaboration and discussion. Can I arrange for someone else to manage the breakout rooms at a meeting that I have organised?

Yes, there is the ability with Microsoft Teams for the meeting organiser to appoint a breakout room manager. The breakout room manager can then manage the breakout room on your behalf. This can be done before a meeting has started or during the meeting.
