Why monitor our print requirements?
Printing is one of those everyday ‘hidden’ costs that accumulate over time - not just in terms of the cost of providing print equipment, paper and ink - but also the environmental impact that every print job represents.
We should only print when it’s genuinely necessary. Thinking twice before printing helps us reduce waste, save money, and support more sustainable ways of working.
By giving all Moray Council employees open, ‘real time’ access to our print‑usage data, we want to give colleagues the tools to reflect on current printing habits, and to think critically about our reliance on paper documents.
This 'real time’ dashboard is designed to allow colleagues to easily review print quantities and trends at their convenience, rather than relying on monthly spreadsheet reports.

Purpose
This dashboard has been developed to offer Moray managers real-time access to print demand data, rather than relying on periodic emails containing usage reports and spreadsheets.
With this report, managers can:
i) review Moray’s overall reliance on printing over time
ii) understand print demand by location and device
nb: At present we are unable to provide service-specific data. We hope to be to provide this degree of detail in future.

Moray’s Print Contract
Responsibility for the Ricoh print contract lies with Customer Services. We aim to ensure appropriate provision of print facilities – ie the right devices in the right locations - while always seeking to reduce avoidable expenditure. With this report, we hope to offer transparency to managers, helping ensure that any discussion of print requirements is evidence-based and informed by good data.
To support services, our Mailroom and Copy Shop Team Leader will review this print dashboard throughout the year. If unusually high print activity is detected, Caroline will contact services to highlight the bulk printing services they offer, and review the viability for print room to provide support for future requirements - a simple effort to reduce spend, cut waste, and free up staff time across our services.
