Why are we changing the Xerox printers?

The current contract with Xerox has ended and after a competitive tender process with submissions from 8 suppliers, Ricoh were selected as the preferred supplier. The new contract will last for 5 years with the option to extend by a further 2 years.

When will the new devices be available

The installation of the new devices has to be completed by the end of February 2024. Installation of the new devices has already started with the main roll out planned to start from the 15th January 2024. The site will be contacted prior to the new devices being delivered. Disruption will be kept to a minimum during the transition period at a site.

Why do I need a new PIN number?

Unfortunately, it isn’t possible to transfer the PIN numbers from the Xerox printers to the new Ricoh devices so all staff will need to be issued with a new 6 digit PIN.

The PIN will allow you to release your prints from any device connected to the network. The school staff can print in any school/education facility, corporate staff can print in any corporate location.

New PINs will be issued prior to the new Ricoh devices being installed. As we transition to the new Ricoh devices remember your current Xerox PIN will only work on a Xerox device until they are removed.

How do I print to a new Ricoh printer

For corporate devices when you select print on a document there will be two new options available:

  • FollowMe on MVS276
  • FollowMeColour on MVS 276.

The default printer will be FollowMe on MVS276 this will also be for both A3 and A4 printing. You should only use the colour option when a colour option is required. Remember colour printing is 10 times more expensive than mono and has a larger environmental impact.

From school devices there will be two new FollowMe options they are:

  • FollowMeMono on RicohPS.morayschools.gov.uk
  • FollowYouColour on RicohPS.morayschools.gov.uk

You should only use the colour option when a colour option is required. Remember colour printing is 10 times more expensive than mono and has a larger environmental impact.

Where will I collect my prints from

As the way we work has changed with more hybrid working we have seen the volume of prints reducing. As a result, there has been an opportunity to look at reducing the number of printers across all locations.

In the HQ Campus printers will still be in the same locations however the number of devices available has been reduced where deemed appropriate. Many of the new devices have a faster throughput than the former Xerox printers.

At other sites the printer locations will generally remain the same as existing devices. The number of new devices has been agreed with representatives from the sites.
The number of devices with finishing options has been reduced as information available showed these features were not being used extensively.

Follow Me printing allows prints to be collected from any Ricoh Multi Function Device (MFD) on the network. For Corporate users that is any MFD connected to the corporate network. Education users in any school across Moray.

What support is available for the Ricoh print devices.

A Ricoh are providing a fully managed service for all the Ricoh devices this includes repair and maintenance, with automatic replacement of consumables.

Ricoh pro-actively monitor the devices remotely allowing them to dispatch new toner when levels drop below the replacement level. They also monitor the operation of devices and if any issue is identified they are investigated and where possible they will rectify any issues remotely. Where a remote fix isn’t possible then an engineer will be dispatched to site.

At other corporate sites the main admin person will be able to report any issues direct to Ricoh

In Secondary schools all issues should be reported to either the school technicians or to reprographics.

In Primary schools all issues should be reported to the school admin.

How do I clear a paper jam or blockage

The display on the front of the Ricoh device will provide instructions on where any paper jam or blockage has occurred. By following the instructions on the screen most paper jams or blockages can be cleared by all users.

If the paper jam or blockage continue then report issue to the key contact on site or on HQ Campus to PrintOrders@moray.gov.uk

There are a few small A4 printers that have had to be installed due to space restrictions or for a specific function. These are only mono and the print costs for these are more expensive.

All staff are encouraged to use the most economical device for any prints. The Copy Shop also have higher volume devices with additional functionality so for any high-volume prints or specialised printing please contact the Copy Shop on PrintOrders@moray.gov.uk.

Can I print when working from home?

Yes for Corporate users only. By selecting Follow Me MVS276 on the printer option your print will be sent to the corporate network. You can collect the print from any corporate network MFD by entering your PIN. The print will only be held for 48 hours so if not collected in that time it will automatically be deleted.
