Contact with Councillors

From time to time we receive the odd Email direct to a service area we cover from either local Councillors, MSP’s or members of their offices.  The below details guidance for everyone to follow when dealing with these types of queries:

 

Enquiries from Local Councillors should be directed to Service Managers:

  • Set the Organisation as The Moray Council (Councillors)
  • Script Code is Short – Internal Transfer
  • Email with attachments select forward (to allow the attachments to go with Email) and:
    • Input customer as The Moray Council (Councillors)
    • Select service mailbox to send from, preferably not Customer Service e.g. if about waste send from waste@moray.gov.uk
    • Reply to the Councillor and CC the appropriate service manager (feel free to check with me as online info. not always accurate)
    • Body of reply Email should thank them for their enquiry, confirm you have copied in the service manager into your reply to allow them to get in touch directly and finally advising that should they require any further assistance re-their enquiry to contact the service manager directly.
  • Email without attachments select reply and:
    • Make sure the customer is in as The Moray Council (Councillors)
    • Sending mailbox will already be set
    • Reply to the Councillor and CC the appropriate service manager (feel free to check with me as online info. not always accurate)
    • Body of reply Email should thank them for their enquiry, confirm you have copied in the service manager into your reply to allow them to get in touch directly and finally advising that should they require any further assistance re-their enquiry to contact the service manager directly.

 

Enquiries from MSP’s and members of their office:

  • Set the Organisation as the appropriate MSP – search using %MSP% if not there create a new one following the guidance of ones there already
  • Script Code is Short – Internal Transfer
  • Email with attachments select forward (to allow the attachments to go with Email) and:
    • Input customer as the appropriate MSP )
    • Select service mailbox to send from, preferably not Customer Service e.g. if about waste send from waste@moray.gov.uk
    • Reply to the MSP/their office and BCC to complaintsadmin@moray.gov.uk
    • Body of reply Email should thank them for their enquiry, confirm you have forwarded their Email to allow the appropriate contact to get back in touch with them directly.
  • Email without attachments select reply and:
    • Make sure the customer is in as The Moray Council (Councillors)
    • Sending mailbox will already be set
    • Reply to MSP/their office and BCC to complaintsadmin@moray.gov.uk
    • Body of reply Email should thank them for their enquiry, confirm you have forwarded their Email to allow the appropriate contact to get back in touch with them directly.
